Your club is the controller. We are your processor.
This is the single most important thing a club needs to know about a supplier holding children’s data, so it is on a page rather than buried in a contract.
Under the UK GDPR, whoever decides why and how personal data is processed is the controller. For everything about your players, coaches and parents, that is your club. 4CM holds and processes it on your documented instructions, under an Article 28 data processing agreement that forms part of our subscription terms.
We are not a joint controller and we are not an independent controller of your club’s data. The only things we decide for ourselves are our own business contact details for your club administrator, and genuinely anonymised aggregate statistics that can no longer identify anyone.
Our sub-processors — hosting, AI models, email — are listed with what each one receives, and every one is bound by its own Article 28 terms. Player names are replaced with pseudonyms before anything goes to an AI model.
Questions clubs ask
Straight answers.
- Who is the data controller?
- You are. Your club decides what is collected and why; 4CM processes it on your written instructions under a UK GDPR Article 28 agreement. We are your processor, not a joint controller, and we do not train AI models on identifiable data about your players.
- Can under-13s have accounts?
- Not yet. Player accounts start at 13, because a younger child’s account needs verified parental consent and we would rather ship that properly than quickly. U7–U12 squads are fully supported as coach-managed rosters — the coach plans, rates and tracks, and parents see it.
- Do coaches message players through 4CM?
- No, and they never will. There is no direct coach-to-child channel in the product. Anything that reaches a child goes via their parent or to the whole squad.
- What does it cost?
- Nothing during the beta. When we do introduce pricing we will tell existing clubs well before it applies, and it will not be retroactive.
- What happens to our data if we leave?
- You can export it, and we delete it on instruction. That is a term of the processing agreement, not a favour.
